Systems that do the work nobody has time for

AI automation, CRM architecture and growth strategy for property managers, brokerages and real estate teams in Los Angeles. Built by someone who runs the operations these systems feed.

Most real estate firms do not have a software problem. They have a nobody owns this problem.

Leads arrive in four places. The CRM holds two versions of the same owner. Somebody rekeys the same unit into three portals every Monday. None of that is a tooling gap, it is an ownership gap, and buying another platform makes it worse.

I start by mapping what actually happens, not what the org chart says happens. Then I remove the manual steps that have no business being manual and put one system in charge of the rest.

I do this inside a live property management portfolio every week, which is the only reason I am willing to say it works.

01 · What it covers
Growth strategy
Where the next hundred qualified leads come from, what each channel costs, and the mix written down instead of assumed.
CRM architecture
One source of truth. Pipelines, stages, owners and automation that match how the team already sells, rather than how a template thinks it should.
AI workflows
Agent tooling for the recurring manual work: enrichment, qualification, drafting, routing and reporting. Scoped to tasks with a checkable output, never to work nobody can verify.
Lead response
Every inquiry answered and routed as it arrives, evenings and weekends included, so a lead is never waiting on whoever happens to be at a desk.
Email deliverability
Sending domain, authentication, warming and list hygiene, so what you send reaches an inbox instead of a spam folder.
Internal tooling
Small purpose built dashboards and scripts for the reporting nobody wants to assemble by hand every month.
02 · How it runs
  1. Audit

A fixed scope look inside the stack. I map the real path a lead takes, find where records fork, and price the manual work in hours. You keep the map whether or not we go further.

  2. Build

The consolidation and the automation, shipped in slices. Each slice goes live and gets used before the next one starts.

  3. Hand over

Documentation your team can run without me, plus the reporting that shows whether it kept working after I left.

04 · Questions

Asked often enough to answer here.

What does an AI consultant build for a real estate firm?

Usually three things: one CRM that every lead lands in, automation for the steps a person was doing by hand, and reporting that says whether either is working. The AI part is narrow on purpose. It handles enrichment, qualification, drafting and routing, where the output can be checked against a record.

Do you replace our CRM, or work with the one we have?

Work with it, in almost every case. A migration is expensive and it loses history. I only recommend moving when the platform cannot do something the business genuinely needs, and I say so before the audit ends rather than after you have paid for a build.

How do you decide what is worth automating?

The audit prices the manual work first, in hours per month, so the case for each piece is a number you see before deciding rather than a promise. If something will not pay for itself, I tell you not to build it.

Which tools do you work with?

The platforms real estate already runs on: GoHighLevel and HubSpot for CRM, Clay for enrichment, Mailgun for sending, AppFolio on the property side, and Claude and Gemini for the AI work. The tool follows the problem, not the other way around.

Do you work with firms outside Los Angeles?

Yes. The systems work is remote by nature. Los Angeles and the San Fernando Valley are where I also run property on the ground, which is where the operating knowledge comes from.

Thirty minutes. Bring the part of the week that keeps eating itself and we will work out whether this is worth doing.

It comes straight to me and never onto a mailing list. See the privacy policy.
